When you open a Gallery in wp-admin, you land in the Gallery Editor — a two-section page that combines the item grid with a full settings panel. This article walks through every part of the editor so you know where to find things before you start configuring.

The items section #
The upper part of the editor is the items section. It has two tabs: Manage and Preview.
Manage tab
The Manage tab shows your gallery items as a thumbnail grid. This is where you add, reorder, edit, and remove items.
Adding items — Click the Add New button to open a dropdown menu with the following options:
- Upload — Upload files directly from your computer.
- From Library — Select images that are already in the WordPress Media Library.
- From Folder — Browse your uploads folder.
- From ZIP — Upload a ZIP archive of images.
- Video Embed — Add a video from YouTube, Vimeo, or another embed source.
- Instagram — Import from Instagram (Pro).
If the gallery is empty, the same options are presented as a full-width block layout directly in the item area.
Reordering items — Drag and drop any thumbnail to a new position. The order is saved when you publish or update the gallery.
Editing an item — Click a thumbnail (or the pencil icon that appears on hover) to open the Item Edit modal. The modal has seven tabs:
- Details — Title, alt text, caption, description, and credit.
- Tags — Assign tags to the item for filtering and the Lightbox info panel.
- People — Tag people who appear in the item.
- Location — Associate a location with the item.
- Interactions — Set an external URL and link target for this item.
- EXIF — View the item’s EXIF metadata.
- SEO — SEO fields (Pro).
Use the arrow buttons in the modal footer to navigate between items without closing and reopening the modal.
Marking a favourite — Click the star icon on any thumbnail to mark that item as the Gallery’s featured item. The featured item is used as the Gallery’s cover image in Albums.
Removing an item — Click the ✕ icon on a thumbnail to remove the item from the Gallery. This removes the item from the Gallery only — it does not delete the file from the Media Library.
Bulk operations — The Bulk Editor button (Pro) opens a multi-select mode for applying changes to several items at once.
Remove All — The Remove All button removes every item from the Gallery.
This action cannot be undone. To prevent accidental data loss, you are required to type REMOVE ALL in a confirmation prompt before any items are removed.
Preview tab
The Preview tab renders a live preview of your gallery using the current settings. Use it to check layout, spacing, and hover effects without leaving the editor. Changes you make in the settings panel are reflected in the preview in real time.
The settings panel #
Below the items section is the settings panel. It contains every display and behaviour option for the Gallery, organised into tabbed groups — Layout, Lightbox, Captions, and so on. Settings that have a desktop/tablet/mobile toggle let you set different values per breakpoint.
Any setting you change here applies only to this Gallery. To change the default value for all new Galleries, use FotoGrids → Settings → Defaults.
Saving #
FotoGrids autosaves changes to gallery items as you make them. Settings changes are saved when you click the Update (or Publish) button in the WordPress post editor, which appears in the top-right area of the page.
