Gallery Permissions

The Permissions tab controls who can view and who can edit each Gallery or Album. Two groups of settings are available: View Permissions determine which visitors can see the Gallery on the front end, and Edit Permissions (Pro) determine which WordPress users can open and modify it in the admin.

View Permissions #

View permissions apply on the front end. When a visitor loads a page containing a restricted Gallery, FotoGrids checks whether they meet the requirement before rendering any output.

Who can view this Gallery?

  • All — the Gallery is visible to every visitor, including guests who are not logged in.
  • Only registered users — the Gallery is hidden from logged-out visitors. Any WordPress user who is logged in can view it, regardless of their role.
  • Specific roles — only users who belong to one or more selected roles can view the Gallery. This option is available on FotoGrids Pro.

When a Gallery is restricted, FotoGrids renders nothing in its place — no placeholder, no error message. Visitors who do not meet the requirement simply see an empty space where the Gallery would appear.


Edit Permissions (Pro) #

Edit permissions apply inside wp-admin. They control which WordPress users can open the Gallery or Album editor and save changes.

This feature is available on FotoGrids Pro. On free installations the Edit Permissions group is visible as a preview, and the settings within it are locked.

  • All — any user with the manage_fotogrids capability can edit this Gallery.
  • Specific roles — only users belonging to the selected roles can edit this Gallery. A Permission type toggle lets you set whether the list is an allowlist (Include) or a blocklist (Exclude).
  • Specific users — only the individually selected users can edit this Gallery, regardless of their role. A Permission type toggle applies here as well.

Upgrading for Role-Based View Control #

The free tier supports two view modes: public (all visitors) and registered users only. If you need to restrict a Gallery to a specific subset of your users — such as members of a particular tier, club, or organisation — Specific roles view gating is available on FotoGrids Pro Starter and above.

Pro also adds the full Edit Permissions group, so you can assign individual Galleries to specific team members or contributors without giving them access to every Gallery on the site.
