Managing People

The People library is where you manage the names and details of everyone who has been tagged across your Gallery items. From here you can rename, add details, delete, merge, and search across all person entries. With FotoGrids Pro, the People library also supports AI-assisted facial recognition, which uses these entries to identify and suggest people automatically.

Location FotoGrids Library People

The People table #

The table lists every person entry in your library with the following columns:

  • Name — the person’s name. Click any name to rename it inline.
  • Slug — the URL-safe identifier generated from the name. Updated automatically when you rename an entry.
  • Items — the number of Gallery items this person is tagged in.
  • Actions — a Delete button for each row.

Click any column header to sort the table by that column. Click again to reverse the sort direction.

Finding people #

The search field at the top of the tab filters the list as you type. Results update after a short pause.

Enable Unused only to show person entries that are not attached to any items — useful for cleaning up entries that were created but never used.

Renaming a person #

Click the person’s name in the Name column. The cell becomes an editable text field. Make your change, then press Enter or click Save. Press Escape or click Cancel to discard.

Renaming a person updates their name across all items they are tagged in.

Deleting a person #

Click Delete in the Actions column. A confirmation popover appears showing how many items the person is tagged in. Confirm to proceed.

Deleting a person entry removes them from every item they are assigned to. This cannot be undone.

Bulk actions #

Select multiple entries using the checkboxes on the left. A bulk action bar appears with the following options:

  • Delete selected — permanently removes all selected entries and detaches them from any items.
  • Merge… — available when two or more entries are selected. Merges all selected entries into one target entry. Items that carried any of the source entries are updated to carry the target entry instead, and the source entries are deleted.

Merging is useful when the same person has been added under slightly different names (for example, J. Smith and Jane Smith).

Adding a person #

Click Add Person in the toolbar to open a creation modal. Enter a name and, optionally, a Details value — this is a free-text field for any notes about the person (role, organisation, or other context). Click Create to add the entry.

The new person is available immediately as a suggestion in the item editor across all Galleries.

Details field #

Each person entry can carry an optional Details value. This is a free-text field visible in the library and in the inline edit form. It is intended for contextual information — for example, a person’s job title, team, or any other note that helps identify them. Details are not currently displayed on the frontend.

Recalculating usage counts #

If the Items count appears incorrect, click Recalculate counts in the toolbar to re-count all assignments from the database.

AI facial recognition (Pro) #

With FotoGrids Pro and AI facial recognition enabled, the item editor can detect faces in a photo and suggest matches from the People library automatically. Entries in the People library are used as the identity source for these suggestions. Keeping names consistent and merging duplicates improves recognition accuracy.

Tips #

Person entries are shared across your entire FotoGrids installation — not scoped to individual Galleries. A person tagged in one Gallery is available in all others.

To tag people in individual items, use the item editor: Gallery Editor → Manage Items → Edit item → People.
